This Privacy Policy explains how North Form Solutions Ltd (“we”, “us”, “our”), which operates Free Resume Builder at freeresumebuilder.digital (the “Service”), collects, uses and protects your personal data. We are the “data controller” for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Data we collect
CV content you enter — your name, contact details, work history, education, skills and anything else you type into a CV. This can include personal data about you.
Account data (if you create an account) — your email address and a securely hashed password.
Payment data — when you pay, our payment provider (Stripe) processes your card details. We never see or store your full card number; we receive only a payment confirmation and limited billing information.
Job-advert text you paste to use the AI tailoring and cover-letter features.
Technical data — basic information such as your IP address and browser type, used to keep the Service secure and working.
2. How and why we use your data (legal bases)
To provide the Service (building, saving and downloading your CV) — legal basis: performance of a contract.
To process payments and provide subscriptions — performance of a contract.
To provide AI features (tailoring and cover letters) — performance of a contract, at your request.
To keep the Service secure and prevent abuse — legitimate interests.
To meet legal obligations, such as keeping transaction records for tax purposes — legal obligation.
3. AI processing
When you use the “Tailor to a job” or cover-letter features, the CV content and job advert you provide are sent to our AI provider, Groq or Anthropic, to generate the tailored result. The provider processes this data on our behalf to return your output. API inputs and outputs are not used to train the provider’s models. These features are optional — if you do not use them, your CV content is not sent to an AI provider.
4. Who we share data with
We do not sell your personal data. We share data only with the service providers we need to run Free Resume Builder:
Stripe — payment processing.
Groq or Anthropic — AI tailoring and cover letters (only when you use those features).
Our hosting and database providers — to store and serve the Service.
Authorities or advisers where we are legally required to disclose information.
5. International transfers
Some of our providers (including Stripe and our AI provider) are based outside the UK. Where personal data is transferred internationally, it is protected by appropriate safeguards such as UK-approved standard contractual clauses or an adequacy decision.
6. How long we keep your data
CVs — kept until you delete them or close your account.
Account data — kept while your account is active.
Payment records — kept for at least six years to meet UK tax and accounting requirements.
7. Your rights
Under UK data protection law you have the right to:
access the personal data we hold about you;
ask us to correct inaccurate data;
ask us to delete your data (“right to be forgotten”);
restrict or object to certain processing;
receive your data in a portable format;
withdraw consent where processing is based on consent.
